A small business pays $0 to about $150 per user per month for CRM software as of October 2026. Most teams of 3 to 10 people land between $14 and $100 per user, which is $504 to $12,000 a year. Setup adds a one-time cost on top. HubSpot's required onboarding alone runs $1,500 to $3,500.
Every price below comes from the vendor's own pricing page in October 2026. Prices are in US dollars, per user per month on annual billing, before sales tax, unless stated.

How much does a CRM cost per user?
CRM plans fall into four price bands. The band you need depends on features, not on company size. A 4-person team that needs forecasting and email sequences pays mid-tier prices. A 30-person team that only tracks contacts and deals can stay on an entry plan.
Tier | Price per user per month | Examples as of October 2026 |
|---|---|---|
Free | $0 | HubSpot Free (2 users), Zoho CRM Free (3 users), Salesforce Free Suite |
Entry | $9 to $25 | Freshsales Growth $9, Zoho Standard $14, Pipedrive Lite $14, HubSpot Starter $20 list, Salesforce Starter Suite $25 |
Mid-tier | $23 to $100 | Zoho Professional $23, Freshsales Pro $39, Pipedrive Growth $39, Dynamics 365 Sales Professional $65, HubSpot Professional $90, Salesforce Pro Suite $100 |
Upper | $40 to $195 | Zoho Enterprise $40, Pipedrive Ultimate $79, Dynamics 365 Sales Enterprise $105, HubSpot Enterprise $150, Salesforce Core $195 |
The jump from entry to mid-tier is where most small teams spend their money. Mid-tier plans add the features sales managers ask for first: automated follow-up sequences, forecasting, lead scoring and more automation rules. Entry plans cover contacts, deals, pipelines and basic email.
CRM pricing by vendor in October 2026
The table lists six widely used CRMs, with the price of each tier on annual billing.
CRM | Entry plan | Mid plan | Top plans |
|---|---|---|---|
Starter, $20 list, advertised from $7 on annual billing | Professional, $90, plus $1,500 onboarding | Enterprise, $150, plus $3,500 onboarding | |
Starter Suite, $25 | Pro Suite, $100, contract required | Core $195, Advanced $395, Max $550 | |
Standard, $14 ($20 monthly) | Professional, $23 ($35 monthly) | Enterprise $40, Ultimate $52 | |
Lite, $14 | Growth, $39, or Premium, $59 | Ultimate, $79 | |
Growth, $9 | Pro, $39 | Enterprise, $59 | |
Professional, $65 | Enterprise, $105 | Premium, $150 |
Monthly billing costs more everywhere. Zoho shows both rates, and its monthly prices run 25% to 52% higher: Standard rises from $14 to $20 and Professional from $23 to $35. HubSpot Professional is $90 on annual billing and $100 on monthly billing, and the monthly option still commits you to a year.
Treat introductory rates with care. HubSpot advertises Starter from $7 per seat on annual billing against a $20 list price. Ask whether the lower rate holds at renewal before you plan a second year on it.
What a CRM costs per year for 3, 10 and 25 users
Per-user prices only make sense once you multiply them by headcount. The table uses annual billing and adds HubSpot's required onboarding fee to year one.
Plan | 3 users | 10 users | 25 users |
|---|---|---|---|
Zoho CRM Standard at $14 | $504 | $1,680 | $4,200 |
Pipedrive Growth at $39 | $1,404 | $4,680 | $11,700 |
Salesforce Pro Suite at $100 | $3,600 | $12,000 | $30,000 |
Dynamics 365 Enterprise at $105 | $3,780 | $12,600 | $31,500 |
HubSpot Sales Hub Professional at $90, plus $1,500 onboarding | $4,740 | $12,300 | $28,500 |
At 25 users, the gap between the cheapest and the priciest plan in the table is $27,300 a year. That money has to buy something your team will use. If Zoho Standard covers your process, the premium plans are a cost with no return.
Seat count matters more than vendor choice. Count the people who will log in every day within 24 months. Managers who only read reports may not need a paid seat. HubSpot, for example, includes view-only seats at no extra cost.
Which price tier fits your team
Your situation | Tier to buy | Budget per user per month |
|---|---|---|
1 to 3 people sharing contacts and one pipeline | Free | $0 |
Up to 10 reps tracking deals and sending basic email | Entry | $9 to $25 |
A sales manager who needs sequences, forecasting and lead scoring | Mid-tier | $23 to $100 |
Several teams, approval steps and testing changes in a sandbox | Upper | $105 to $195 |
25 or more users with a process no product models well | Custom build | One-time build plus hosting, no seat fees |
Buy the entry tier first and upgrade when a named feature is missing. Moving up a tier takes minutes. Moving down is harder once your workflows depend on the higher plan.
Why CRM costs rise after year one
The year-one quote is rarely the year-three bill. Four things push it up:
- New hires. Adding 5 reps on HubSpot Sales Hub Professional adds 5 x $90 x 12 = $5,400 a year.
- Introductory rates ending. If HubSpot Starter moves from $7 to its $20 list price, 10 seats go from $840 to $2,400 a year.
- Contact tiers. Marketing Hub Professional includes 2,000 marketing contacts, and a growing list moves you to a higher tier.
- AI usage. Included HubSpot Credits reset monthly and do not roll over, so heavy months spill into paid credits.
Budget year two at your expected headcount and at list price. Anything cheaper is a bonus.
One-time setup costs: onboarding, migration and configuration
The license is the predictable part. Setup is where budgets slip, and it has three pieces.
- Vendor onboarding. HubSpot charges a required one-time fee of $1,500 on Sales Hub Professional and $3,500 on Enterprise. Salesforce lists no required onboarding fee, and partner help is billed separately.
- Data migration. Contacts, deals and notes have to come out of spreadsheets, inboxes and old tools. Duplicates and missing fields have to be fixed before the import, or the CRM starts dirty.
- Configuration. Someone has to set up deal stages, fields, user roles, email templates and automation rules, then train the team.
Say a 10-person roofing company in Texas has 6,000 contacts spread across spreadsheets and an old email tool. Assume the office manager spends 40 hours on cleanup at $30 an hour, which is $1,200 of internal time. Assume a partner spends 30 hours on import and pipeline setup at $100 an hour, which adds $3,000. Setup then costs $4,200, more than two years of Zoho Standard licenses for that team.
Those hourly figures are assumptions for the example. Get a written quote with hours before you sign anything.
Recurring costs beyond the seat price
These costs show up on the invoice after the first month:
- Connecting forms, billing or scheduling tools needs a connector when the CRM has no native integration. Zapier's Professional plan starts from $19.99 a month. Salesforce Pro Suite charges $25 a user each month for its Web Services API add-on.
- Pipedrive sells extras such as LeadBooster from $32.50, Web Visitors from $41 and Smart Docs from $32.50.
- HubSpot Marketing Hub Professional costs $800 a month on an annual commitment, with 2,000 marketing contacts and a $3,000 onboarding fee.
- Salesforce Premier support is an add-on on Pro Suite, and someone on your team needs a few hours a month to fix fields, users and reports.
For workflows that cross several apps, the guide to n8n vs Zapier explains how each one bills as volume grows.
What AI features add to CRM cost
Each vendor bills AI differently in 2026, so compare the AI line separately from the seat price.
- HubSpot includes HubSpot Credits each month: 500 on Starter, 3,000 on Professional and 5,000 on Enterprise. Extra credits cost $0.010 each.
- Salesforce sells Agentforce for Sales as an add-on at $125 per user. Extra Flex Credits cost $500 per 100,000.
- Microsoft includes Copilot in Dynamics 365 Sales Enterprise at $105. Sales Premium at $150 adds 1,000 Copilot Credits per user per month.
- Freshsales sells its Freddy AI Agent at $49 per 100 sessions on every paid plan.
The spread is wide. For 10 users, the Agentforce add-on adds $15,000 a year. Dynamics 365 Sales Enterprise includes Copilot inside its $105 seat price. Price AI only after your records are clean, because an assistant that reads half-empty deals writes poor follow-ups.
Free CRM plans and their limits
HubSpot, Zoho and Salesforce each list a free CRM in October 2026. HubSpot's free plan covers up to 2 users. Zoho CRM is free for 3 users. Salesforce lists a Free Suite at $0, with Slack Free and 10GB of data storage.
Free plans suit a team of one to three people that needs a shared contact list and a simple pipeline. They stop working when you need automation, more users or reporting by lead source. Plan for the upgrade price, not the free price.
Paid plans come with trials instead. Pipedrive offers 14 days, Freshsales 21 days and Salesforce 30 days on every Sales Cloud edition. Import last month's real leads into the trial, not sample data. The guide on what a CRM is and when a small business needs one covers the signs that a free plan is no longer enough.
Three-year cost for a 10-person sales team
Say a 10-person commercial cleaning company in Georgia compares four CRMs over three years. Assume $3,000 of partner setup for every option except HubSpot, whose required $1,500 onboarding covers guided setup. Assume Zapier Professional at $19.99 a month connects the cheaper tools to the company's forms.
CRM option | Licenses, 3 years | Setup | Integrations, 3 years | Total |
|---|---|---|---|---|
Zoho CRM Professional at $23 | $8,280 | $3,000 | $720 | $12,000 |
Pipedrive Growth at $39 | $14,040 | $3,000 | $720 | $17,760 |
HubSpot Sales Hub Professional at $90 | $32,400 | $1,500 | $0 (native connections) | $33,900 |
Salesforce Pro Suite with API add-on at $125 | $45,000 | $3,000 | $0 (API included) | $48,000 |
Spread across 360 user-months, Zoho Professional works out to about $33 per user per month and HubSpot Professional to about $94. The extra $21,900 on HubSpot has to buy features the team uses every week, such as sequences, forecasting and guided onboarding. If those features go unused, Zoho is the better buy.
The HubSpot vs Salesforce comparison breaks down the top two options in more detail.
How to budget for a CRM in six steps
- Count the users who will log in every day within 24 months, and list who only needs read access.
- List the features you cannot work without, then find the cheapest tier that includes all of them.
- Compare annual and monthly billing. Zoho's annual rates run 20% to 34% below its monthly rates.
- Add one-time costs: onboarding fees, data cleanup hours and partner hours.
- Add recurring extras: integrations, add-ons, marketing contacts and AI.
- Multiply by three years, then compare the total with a custom build if you have 25 or more users.
Step six matters at scale. Seat fees grow with every hire, while a custom CRM costs a one-time build plus hosting and upkeep, and you own the code. Below about 25 users, an off-the-shelf plan is usually the cheaper and faster choice.
Start with the seat count and the feature list, because those two numbers set most of the bill. Frequently asked questions
Across six popular CRMs checked in October 2026, mid-tier plans cost $23 to $100 per user per month on annual billing. Entry plans run $9 to $25, and top tiers run $40 to $195 or more. Most small teams pay $14 to $100 per user, before setup costs.
Yes. HubSpot's free CRM covers up to 2 users, Zoho CRM is free for 3 users, and Salesforce lists a Free Suite at $0. Free plans suit one to three people with a simple pipeline, and they stop working once you need automation or more users.
Annual billing is cheaper. Zoho CRM Standard costs $14 per user per month on annual billing and $20 on monthly billing. HubSpot Sales Hub Professional costs $90 annually and $100 monthly. Monthly billing makes sense only while you are still testing whether the team will use the CRM.
It ranges from a few hours of your own time to several thousand dollars. HubSpot requires a one-time onboarding fee of $1,500 on Sales Hub Professional and $3,500 on Enterprise. Other vendors leave setup to you or a partner, so ask for a written quote with hours before signing.
Buy a seat for every person who will log calls, emails or deals each day, and plan for the headcount you expect in 24 months. People who only read reports may not need a paid seat. HubSpot, for example, includes view-only seats at no extra cost.
